How we process your personal data

Personal data

At Min A-kasse, we only collect and store personal data when it is relevant and necessary. We also place high demands on the security of our IT systems so that the personal data collected is protected in the best possible way at all times.

The level of IT and information security in Min A-kasse is reviewed annually by an external audit, which all unemployment funds are subject to. When Min A-kasse uses external suppliers to process personal data, we always enter into the necessary agreements to ensure the protection of your data.

When do we delete your data?

Our deletion period for personal data is eight years

We are happy to delete personal data, either at your request or automatically at the end of our general deletion period of 8 years.

The 8-year time limit depends on the type of data and the purpose for which it is used. This is because we are subject to unemployment insurance legislation and therefore cannot simply delete personal data.

The following deletion deadlines apply in Min A-kasse:

As a member of Min A-kasse, your personal data regarding your entitlement to unemployment benefits, early retirement, etc. will only be deleted 8 years after you have reached retirement age. You cannot have your personal data regarding your unemployment fund membership deleted on an ongoing basis.

As a former member of Min A-kasse, your personal data regarding your unemployment fund membership will automatically be deleted 8 years after your membership has ended, unless you are covered by the target group for the withdrawal scheme in relation to early retirement. If you have paid into the early retirement scheme, your data will not be deleted until 8 years after you have reached retirement age.

Upon retirement or death, your personal data regarding your entitlement to unemployment benefits, early retirement etc. will be deleted after 8 years.

All other processing of personal data in Min A-kasse that is not subject to unemployment insurance legislation is stored in our internal systems with user-restricted access for statistical and marketing purposes. This personal data will also be deleted after 8 years, unless you request it to be deleted before then.

Collection of personal data beyond enrollment

We collect personal information from you when you fill in information on the My Unemployment Fund website. The information we collect includes name, email address and phone number. Please note that My Unemployment Fund uses cookies. Read more about our cookie policy.

Use of personal data

Min A-kasse uses your personal information to send you information that may be relevant to you, e.g. via your email or by contacting you by phone. We may also use your personal information to analyze user behavior and improve our website and marketing efforts.

Changes to the privacy policy

We reserve the right to change the privacy policy. Any changes will appear on the website.

Automated decisions - sometimes we are a robot

In Min A-kasse we use automatic decisions in certain cases

This means that our IT system automatically assesses and approves received forms, if possible. Min A-kasse only makes automatic decisions when the case is suitable: 'Suitable' means cases where all the necessary information is available, none of the information gives rise to further investigation, no discretion needs to be exercised, and our member has not made any comments. All complex cases that are based on a specific assessment are processed manually by an employee in My Unemployment Fund.

If you are unsure whether your case has been processed automatically, please contact us. If your case is processed automatically, you can always have an employee review your case manually.

Statutory interviews - what personal data do we use here?

Personal data for CV and availability interviews

In connection with statutory CV and availability interviews, we need the personal data that is already in our systems. They may affect your entitlement to unemployment benefits.

We rarely collect new information for this purpose. In order to find you in our systems, we may ask for your name, phone number or date of birth. As a rule, you book your own appointments via the My Unemployment Fund booking system, which is secured with SSL encryption. SSL stands for Secure Sockets Layer, which is a globally used industry standard that ensures that your data is encrypted so that only you and Min A-kasse have access to the information entered.

Before the interviews, you will be asked to provide us with previous job titles. This information is linked to your personal data and is collected via My Unemployment Fund Self Service.

Personal data and interviews at the job center

When Min A-kasse members so wish, Min A-kasse participates in the statutory joint meetings at the job center. In these cases, Min A-kasse receives an invitation from the job center via an encrypted email address. Min A-kasse's systems only register that a meeting has taken place, and Min A-kasse does not take minutes of the meeting.

As a member, you can always decline to have Min A kasse participate in the interviews. This is done by contacting either the Jobcenter or Min A-kasse.

Security on our Self Service

You need MyID to log in

Through My Unemployment Fund Self Service, you can submit unemployment benefit cards, early retirement cards, unemployment declarations and much more. You can also view letters and payment specifications.

To use Min A-kasse's Self Service, you must be registered in Min A-kasse's membership system. You must use MitID to log in. Min A-kasse's Self Service is internally hosted, is secured with SSL encryption and the system also securely sends and receives information with Min A-kasse's other systems. SSL stands for Secure Sockets Layer, which is a globally used industry standard that ensures that your data is encrypted so that only you and Min A-kasse have access to the information entered.

All documents and letters in the system are stored as long as you are a member of Min A-kasse or as long as we still have a duty to store the information.

When you contact us by email, phone and in person - what happens to your personal data?

When we are in contact by phone

When you call My Unemployment Fund, we register the time of the call and which employee you have been in contact with. We use this information to find out together who you spoke to and when. We do not log the content of the call or record the conversation.

Email and personal data

When you send an email to Min A-kasse, it is generally an unencrypted message, which is why we recommend that you do not write your CPR number in the email and also provide as little personal information as possible in the email. We therefore recommend that you always use our self-service solution. We continuously update our privacy policy in accordance with the implementation of new technical solutions.

All emails sent to our main emails are deleted monthly on our servers. A backup is stored for 5 years after deletion, which can only be restored by our IT department.

Personal inquiries and personal data

When you contact Min A-kasse in person at our addresses, we treat your personal data confidentially. For example, if you provide confidential information or personal data, we make sure that no one else has access to it.

Feedback on CVs and applications

As a member of My unemployment fund, you have the opportunity to get feedback on your CV and application from a career advisor. When you want to receive feedback, we ask you to submit the information via our Self Service.

We continuously update our privacy policy in accordance with the implementation of new technical solutions.

Your rights

As registered in Min A-kasse, you have certain rights under the General Data Protection Regulation.

If you want to exercise your rights, please contact us.

You have the right to request access to the data we process and you have the right to have inaccurate data corrected or deleted.

In special cases, you also have the right to have data about yourself deleted before the time of our general deletion occurs.

In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You can also object to the processing of your data for direct marketing purposes.

In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have this personal data transferred from one controller to another without hindrance.

You can read more about your rights in the Danish Data Protection Agency's guide on data subjects' rights, which you can find at www.datatilsynet.dk.

The data we process as an unemployment insurance fund is mainly general personal data under Article 6 of the Regulation. However, we may also process particularly sensitive data under Article 9. This happens when we carry out availability assessments and in this connection process data about health. It also happens when we assess terminations and sometimes learn about our members' trade union relationships. Finally, we process information about criminal offenses when we waive membership fees on the basis of deprivation of liberty.
